Position Summary:

St. Michael Preschool is seeking a Program Administrative Assistant to join their team. The Preschool Program Administrative Assistant is a part time administrative support position with the primary objective of providing support to the Preschool and Director of the Preschool.

Key responsibilities:

Assists the Director of the Preschool by:

  • Maintaining:
    • A welcoming presence to students, staff, parents, and visitors, including providing tours to prospective families.
    • Workroom machines.
    • Enrollment records.
    • Preschool website.
  • Managing:
    • Staff and student files.
    • Allergy action plan binder.
    • Registration information and documentation.
    • Maintenance needs and requests.
  • Assisting with:
    • Developing a calendar of events and secure room reservations.
    • Onboarding staff, including training of workroom machines.
    • Ordering appropriate supplies for the preschool, playground, and classrooms.
    • Coordinating
    • Extended Day programs with rosters, staffing, scheduling, payment confirmation.
    • Administrative assistance as needed for the overall functioning of the Preschool and staff through:
    • Copying, answering phone calls, providing rosters, material acquisition, etc.
    • Support for Preschool related events, including but not limited to Church Mornings, Christmas/End of Year Programs.
  • Communicating:
    • To families and staff through social media, email, and newsletters. 
  • Other Duties and Responsibilities
    • Participates in staff meetings, annual staff retreat, and the mandatory annual all staff gathering.
    • Adheres to parish and diocesan guidelines as outlined in the Employee Handbook
    • Handles confidential information with tact and discretion.
    • Performs other functions as necessary or as assigned.
    • Utilizes Realm Software for communication, tuition, class and camp registrations, enrollment, and for maintaining student/family profiles.
    • Performs other functions as necessary or as assigned.

Minimum Requirements:

  • Bachelor’s degree preferred.
  • At least 2 years of experience working in an office and working with young children.
  • A practicing Catholic preferred with thorough knowledge of the Catholic faith and ability to communicate it to a wider audience in both words and actions.
  • Excellent interpersonal skills including the ability to listen, speak effectively and interact professionally with children and adults in-person, through voice, and in writing.
  • Superior attention to detail and ability to prioritize according to established timeframes.
  • Experience using social media, Microsoft Office, and Realm preferred.
  • Employment is contingent upon applicant satisfactorily passing criminal background and reference checks
  • Must complete diocese-sponsored Safe Environment Training
